Bryan-Bennett Library Regular Board Meeting Minutes: October 20, 2015

Call to order

President Jane Gaston called the regular monthly library board meeting to order at  6:30 pm with the following trustees present:  Gloria Bierman, Tom Champion, Sherman Doolen, Jane Gaston, Jack McGuire, Jane Mordcai, and Joyce Raver. Trustees Joyce Hahn and Ann Wilzbach were absent. Also in attendance were Library Director Kim Keller and Assistant Library Director Kim Baldridge. There were no visitors.

Secretary’s Report

The minutes of the Special Board Meeting on October 8, 2015 and the minutes of the September 15, 2015 Regular Board Meeting were approved as present on a motion by Trustee Bierman with a second by Trustee McGuire. All present approved.

Treasurer’s Report

The treasurer’s report was approved as presented on a motion by Trustee Bierman with a second by Trustee Mordecai. All present voted “yes” on roll call.

The October 2015 bills totaling $15,006.49 were examined and approved as presented on a motion by Trustee Doolen with a second by Trustee Bierman. All present voted “yes” on roll call.

Committee Reports

No committee reports at this time.

New Business

A.      Security Cameras-After a brief discussion, the matter of security cameras was tabled for a later date.

B.      Surplus Inventory List-All items on the  Surplus Inventory List composed by the Building Committee and presented by Director Keller were declared surplus and Director Keller was instructed to sell what she can and dispose of the rest on a motion by Trustee Doolen with a second by Trustee Champion. All present voted “yes” on roll call.

Unfinished Business

No unfinished business at this time.

Director’s Report

First installment of the general fund pass-through(sales tax) will be arriving this week.

The first reading of the property tax levy for 2015 assessments was held at yesterday’s City Council meeting.

City Hall is working out a problem regarding overpayment of employee expenses. Expenses for a new hire at City Hall were being included in the Library’s bills for the last couple of months.

Halloween Costume Contest will be on October 29, 2015. Registration is at 5:15 p.m., with judging to start at 5:30 p.m.. Bags to hand out have been stuffed by Program Assistant Ferguson and Trustee Raver. City Hall donated the candy.

A card making class is being planned for November 7, 2015 at 10 a.m. There is a $15 charge. Participants will take away 3 cards with matching envelopes. Instructors are Cindy Simmons and Connie Meador.

A Family Trivia Night for the November 12 family night at the library is being planned for 6:30 p.m..

Santa visits are scheduled for December 10 and 12.

Also on December 10, a Christmas sing will be led by Becky Carpenter.

Programs in the planning stages for after the first of the year include a Lego Club and Book Bingo.

Board Members’ Reports

Trustee Bierman is experiencing problems with the SHARE website. Director Keller will look into it.

Trustee Doolen wanted to know why the special area tribute to William Jennings Bryan was not yet completed. President Gaston stated a plan had to be put into place first and due to the time it takes to set up and other things on the schedule it would be better to set this up after the first of the year. Trustee Raver reminded that the Domino League would need to be moved to another area of the library first.

President Gaston would like the board to consider getting the carpeting professionally cleaned. Director Keller was instructed to look into this and report back at a later board meeting.


A motion to adjourn the meeting was made by Trustee Champion with a second by Trustee Bierman. The meeting adjourned at 7:35 p.m.. All present agreed.
