Regular Monthly Board Meeting Minutes

July 18, 2017

Call to order

Prior to the meeting, the board and Mark Howe posed for a picture with the Armory table that Mr. Howe donated to the library.

President Gaston called the regular monthly board meeting to order at 6:43 p.m. with all trustees present. Also in attendance were Library Director Kim Keller and Assistant Library Director Kim Baldridge. There were no visitors.

Secretary’s Report

The minutes of the June 20, 2017 meeting were approved as presented on a motion by Trustee Raver with second by Trustee Wilzbach. All approved.

Treasurer’s Report

The treasurer’s report for July 2017 was approved as presented on a motion by Trustee Champion with a second by Trustee Wilkerson. All voted “yes” on roll call.

The bills for July 2017 totaling $27, 150.44 were examined and approved on a motion by Trustee Wilzbach with a second by Trustee McGuire. All voted “yes” on roll call.

A motion to transfer $16,000.00 from the Money Market account into the Checking account for the purpose of paying the July bills was made by Trustee Mordecai with a second by Trustee McGuire. All voted “yes” on roll call.

Committee Reports

No reports at this time.

New Business

A.      Purchase Smart Television-Director Keller requested a Smart Television be purchased to be used for programs. After a brief discussion of pros and cons, a suggestion of a Smart Board was made with training to be provided for Director Keller.  A motion to table the purchase of a Smart Television until Trustee Wilkerson has researched the cost of a Smart Board was made by Trustee McGuire with a second by Trustee Champion. All agreed.

Director’s Report

Director Keller updated on the following programs/activities to take place at the library:

·         Assistant Pastor of the Grace Nazarene Church Mark Copley has organized a theological book study group that will meet in the board room beginning July 17 and run through September at 6:30 p.m.

·         Salem High School Freshman Peter Huang will be earning his I-Pad hours by volunteering at BBL to tutor adults who need help with their e-readers.

·         Former Kaskaskia College art teacher Dale Wagoner will be teaching an acrylics painting class at the Library beginning September 13. This class is open to the public and there is no charge for the class. The possibility of conducting a children’s art class during winter break is also being considered.

·         New local author, Nancy L. Stanford will be selling and signing copies of her book on August 3 from 6 to 7 p.m.

·         Mark Decker reserved the gym for an informational property tax meeting on August 24. The board instructed Director Keller to request more information of the nature of this meeting before allowing it to take place in the gym.

·         YMCA will be hosting the costume contest in October. The board has no problem with the library not being involved with this.

·         Library staff will consider holding a festival in October. The board prefers a focus on Family Reading Night instead.

·         YMCA no longer wishes to host the annual breakfast/lunch with Santa.  The board has no interest in continuing with this.    

·         BBL will have free Santa hours along with a Santa story time this year.

Circulation Clerk Gaines’ last day will by July 31. She is getting married and moving to Alabama.

The Program Coordinator has asked to be considered for the circulation position.  Director Keller will let her change positions. Director Keller has hired a young lady for the Program Assistant position. The board felt that the library would be better served with the young lady in the circulation position and the Program Coordinator in her current position at this time. Director Keller will notify both of the board’s decision.

Three ideas were in the suggestion box this month, two for books, one for a magazine. The books will be considered. The magazine is an on-line magazine. Currently BBL does not provide on-line magazines.

Director Keller has worked on the library’s website after problems were brought to her attention. It should be more user friendly now.

BBL has returned to the due date stamp procedure.  It should be more cost effective in the long run than the date guns and stickers. Staff has heard only positive comments from patrons on this.

The Bryan-Bennett Library Dinosaur was listed in a brochure about Maurice Decker’s artwork in Salem. This brochure was created by Mark Decker.

An air conditioner fan servicing the gym had to be replaced.

Director Keller will be taking vacation days July 24-28.      

Board Members’ Reports

Trustee Gaston questioned the policy on refunding money to a patron who has already paid for a lost book and the book is later found. Currently, a credit will be given on the patron’s account if they have paid for a lost book and then later return it. She suggested that a money refund be given if the book is returned in good condition within 2 weeks of the book being paid for.  Staff will be informed.    

Adjournment

A motion to adjourn the meeting was made by Trustee Champion with a second by Trustee Hahn. All agreed. The meeting adjourned at 8:05 p.m.
