Regular Board Meeting Minutes

November 17, 2020

Call to order

President Jane Gaston called the regular monthly board meeting  to order at 6:50 pm with the following trustees present: Tom Champion, Ed Dolbeare, Jane Gaston, Lynn Larimer, and Ann Wilzbach. Also in attendance were Library Director Kim Keller and Assistant Library Director Kim Baldridge. There were no visitors. Trustees Jack Mcguire, Joyce Raver, and Gayla Wilkerson were absent.

Secretary’s Report

The minutes of the October 20, 2020, board meeting were approved with the following correction:  Page 3, Second paragraph should have read “President Gaston asked a question concerning the FOBBL “rolling cart” book sale that was being planned” on a motion by Trustee Champion with a second by Trustee Larimer. All present voted “yes”.

Treasurer’s Report

The bills for November 2020 totaling $21,517.83 were examined and approved on a motion by Trustee Champion with a second by Trustee Wilzbach. All present voted “yes” on roll call.

The treasurer’s report and the asset report were approved as presented on a motion by Trustee Larimer with a second by Trustee Dolbeare.  All present  voted “yes” on roll call.

Committee Reports

There were no committee reports at this time

New Business

  1. Staff Christmas bonus-A motion to present the library staff members with a gift card for Christmas in the amount of $50 for any employee with over one year of service and $25 for any employee with less than one year of service was made by Trustee Wilzbach with a second by Trustee Champion. All present voted “yes” on roll call. Total amount for all 9 gift card is $425.

Unfinished Business

  1. Live and Learn Construction Grant Project
  2. Approval of quote for electrical improvements to gym/large meeting room-This issue was tabled until January so more information can be gathered.
  3. Approval of quote for painting gym/large meeting room-A motion to accept the bid from Jerold Henson Painting Contractors in the amount of $10,274.38 was made by Trustee Wilzbach with a second by Trustee Larimer. All present voted “yes” on roll call.
  4. Approval of flooring proposal for gym/large meeting room-A motion to accept the bid from Rollinson’s Home Center, Inc. in the amount of $11,787.81 for flooring with installation to be completed by 3-D flooring was made by Trustee Champion with a second by Trustee Dolbeare. All present voted “yes” on roll call.
  5. Hours of Operation-After a brief discussion, the current COVID hours and restrictions will remain until the pandemic lessens.
  6. Per Capita Grant Application Requirement: Review of Serving Our Public 4.0-This issue was tabled for a later time.

Director’s Report

Bryan-Bennett Library has been awarded a $500 PPE Grant from the Illinois State Library. It will be used for additional cleaning supplies, gloves, and masks, as well as hand sanitizers to be placed in the Family Reading bags.

Bryan-Bennett Library has been awarded a $4,900 Back to Books grant from the Illinois State Library. It will be used to purchase new materials for the Large Print and Audiobook Collections. As part of this project, the Library will conduct a Books Bingo game this winter for patrons.

The Voice and Votes Committee met on October 27. The committee is working on information to present to the schools in January as well as a variety of ways to inform the community about the event. This event will run September 11, 2021 through October 23, 2021.

BBL participated in the registration of the BCMW/WJBD project “Adopt a Family”. The Library registered 38 applicants for this.

Due to the pandemic, Family Reading Night will now be a Family Reading Celebration. The celebration started on November 16. Book bags filled with goodies will be given away to families this week. There’s something for all family members inside the bags. Contents were mostly donated by Wal-Mart, Iuka Bank, Marion County Savings Bank and Keep Salem Beautiful.

Assistant Director Baldridge, Program Director Shanafelt, and Circulation Clerk Waller participated in the Illinois Heartland Library System Member Day on November 10, 2020.

The Library Director and the Program Director set up Twitter accounts. Program Director Shanafelt also set up a YouTube account and has placed story times on it. Story times are also posted on Facebook.

Program Director Shanafelt gave out 68 Pumpkin Fun Kits in October with 291 people viewing the Facebook post. Story times on Facebook are doing well. A drive-through Santa visit in being planned for December complete with a Story Walk featuring the poem The night before Christmas.

Board Members’ Reports

President Gaston suggested board members review the proposed “Hours of Operation” and be prepared to discuss in January if the pandemic is lessens.

Trustee Dolbeare requested that a “Thank you” card be sent to Tim Seats.

President Gaston reminded everyone that since there is no December board meeting the December bills list will be e-mailed to board members for approval. She also reminded them of a possible special board meeting in January concerning the electrical bid for the gym/large meeting room project.
