Regular Monthly Board Meeting Minutes

September 21, 2021

Call to order

President Jane Gaston called the regular monthly board meeting to order at 6:31 pm with the following trustees present:  Ed Dolbeare, Jane Gaston, Gary Hahn, Jack McGuire, Joyce Raver, and Gayla Wilkerson. Trustee Lynn Larimer arrived at 6:52 pm. Trustees Tom Champion and Ann Wilzbach were absent. Also in attendance were Library Director Kim Keller and Assistant Library Director Kim Baldridge. There were no visitors.

Secretary’s Report

The minutes of the August 17, 2021 meeting were approved as presented on a motion by Trustee Wilkerson with a second by Trustee McGuire. All approved.

Treasurer’s Report

The bills for September 2021 totaling $18,894.66 were examined and approved on a motion by Trustee Hahn with a second by Trustee McGuire. All voted “yes” on roll call.

The treasurer’s report for September 2021 was presented. A motion to approve the treasurer’s report was made by Trustee McGuire with a second by Trustee Wilkerson. All voted “yes” on roll call.

A motion to accept the asset report as presented was made by Trustee McGuire with a second by Trustee Hahn. All present voted “yes” on roll call.

Committee Reports

No reports at this time.

New Business

  1. Per Capita Grant Application
    1. Serving Our Public 4.0 Review of Chapter 1, 2, and 3-Director Keller reviewed these 3 chapters with the board and any needed actions will be taken.

Director’s Report

Director Keller updated the board of the status of the Voices and Votes display and presented them with some preliminary statistics.

The first distribution of the 2020 property tax has arrived as well as a payment for the Back to Books Grant. Both revenues will be posted on next month’s asset report.

On August 24, Booher’s had to repair the east HVAC unit that had failed just as the display was being set-up. Also on this day the sit-down circulation computer’s backup battery malfunctioned and had to be replaced by Lazerware. A crew from Joiner also on this day raised the HVAC over the Friends room and rewrapped the rubber around the area where the HVAC sits in order to stop the leak that had been detected the week of August 10-21.

There is one staff member who has COVID and is currently in quarantine. The staff member is feeling better after a couple of rough days and should be released from quarantine by the health department on September 25.

Director Keller will take vacation days on October 6,7, 21, 22 and 25 using the days carried over from her service last year.

Board Members’ Reports

President Gaston brought to the attention of the board the letter from the city’s auditor that was included in this month’s board packet. There were 2 areas of concerns for the library. After a brief discussion, President Gaston and Treasurer Wilkerson will meet with the City Finance Director Barrow to discuss any necessary changes that need to be made and report back to the rest of the board.

Adjournment

A motion to adjourn the meeting was made by Trustee Larimer with a second by Trustee Hahn. All agreed. The meeting adjourned at 8:01 pm.
